Planning the maintenance for your vehicles can be a time consuming task, especially when you have many different assets to take care of and plan. Not to mention the many different events that need planning for each vehicle from vehicle inspections, MOTs, tachograph calibrations, monthly safety checks, and that’s just for HGVs. When you throw trailers, company cars and more into the mix, it can be tricky to know what’s happening next when you plan manually.

We’ve introduced vehicle-check scheduler to help take the hassle out of vehicle maintenance planning, and packed it full of handy features to help fleet managers plan their vehicle maintenance with ease.

What can I use scheduler for?

Vehicle-check scheduler will help take the hassle out of your vehicle maintenance planning, packed full of handy features to help fleet managers plan their vehicle maintenance with ease.

Our scheduler has been designed so you can add schedules and events for any asset you need, so you can plan all your vehicle’s MOT’s, calibration dates, services, inspections, and remember important dates such as tax renewals and more.

But we’ve gone one step further so you can input events on any asset you need. HGVs, trailers, buses, heavy plant machinery, forklifts and even vans and company cars can all be managed on one system so you don’t miss another event.

Monthly Calendar Views

Monthly calendars help transport managers view all their planned maintenance at a glance. Colour coded events can be chosen to pick out different event types quickly and easily. Plus with the event and reg number being shown on the calendar, it makes booking multiple vehicle maintenance in at the same time so much easier

Current events vehicle maintenance dashboard

The current events dashboard shows all the events coming up in a week, and shows the status of each event. Users can use this screen to view what has been completed, what’s already been scheduled in, what’s been booked in and view any overdue events that still need to be completed.

The current event dashboard can also be used to view the upcoming events for the next few weeks too, so users can plan ahead and book in any events needed for the following week.

Bespoke schedules

We know that different events require many different options, that’s why we’ve made schedules as bespoke as possible so you can plan any event you need.

For example most vehicle inspections should be carried out every 6 weeks, MOT’s should be carried out every year, and tachograph calibrations should happen every 2 years on a digital tachograph.

This can all be selected on a schedule on vehicle-check scheduler. Choose how often an event needs doing, choose a workshop it should be done at, and select colour codes to find certain types of events at a glance. You can even make sure that an event is booked in again should a vehicle fail an event such as an MOT, which will then schedule all future events accordingly. Have a week to complete an event before it’s classed as a failure? No problem in our scheduler with bespoke tolerance days either side of an event. Especially handy for when you have an event that needs to be carried out within a month before it becomes overdue.

You can also use preset events to schedule events quicker for your fleet, which can be useful when you have several vehicles all needing the same event at the same place, just on a different start date.

Stay on track with event updates

The vehicle-check scheduler allows users to track when events have been scheduled, booked in, taken to a workshop and when completed. But we’ve gone one step further, showing the date and who it was completed by, as standard. You can also add comments and documents throughout the process, from booking confirmations, certificates, invoices and anything else you need. This also means that your important documentation is all stored in one place, and eliminates the need for paper trials which can sometimes get misplaced or lost along the way.

Using vehicle-check along with our maintenance planner could help transport managers save time, increase compliance and make planning all their maintenance less hassle. Scheduling launches on 1st April 2024, and we’re offering your first month free when you sign up before April, which means you pay nothing until May 2024. Find out more.
